01Information We Collect

We may collect the following types of information:

• Account information: name, email address, login provider information, organization membership, and account settings.
• Meeting content: uploaded audio or video files, transcripts, summaries, action items, insights, meeting titles, metadata, and related notes.
• Usage information: pages visited, features used, timestamps, device/browser information, IP address, logs, and error reports.
• Payment information: if paid plans are offered, payment information may be processed by a third-party payment provider such as Stripe. We do not store full payment card numbers.
• Communications: messages you send us, support requests, feedback, and waitlist submissions.

02How We Use Information

We use information to:

• Create and manage user accounts
• Authenticate users
• Store and process meeting uploads
• Generate transcripts, summaries, action items, and insights
• Display meeting results to authorized users
• Send transactional emails, such as verification, reset, waitlist, or product updates
• Improve product reliability, security, and performance
• Debug errors and prevent abuse
• Comply with legal obligations

03AI Processing

Myntlo may use third-party AI providers, such as OpenAI or Anthropic, to transcribe meeting recordings and extract insights from transcripts. Meeting content may be sent to these providers only as needed to provide the service.

We do not use customer meeting content to train Myntlo-owned AI models unless we clearly ask for permission.

04File Storage and Security

Meeting files may be stored using services such as AWS S3 or Cloudflare R2. We use access controls, secure upload methods, and environment variable protections to help prevent unauthorized access.

No system is completely secure, but we take reasonable steps to protect user data from unauthorized access, misuse, loss, or disclosure.

05Sharing of Information

We may share information with service providers that help us operate Myntlo, including hosting, storage, database, email, analytics, logging, payment, and AI-processing providers.

We do not sell personal information.

We may also disclose information if required by law, to protect our rights, to prevent abuse, or during a business transfer such as a merger or acquisition.

06Data Retention

We keep personal data only as long as necessary to provide Myntlo, comply with legal obligations, resolve disputes, maintain security, and improve the service.

• Account data: kept while the account is active
• Meeting files: kept until deleted by the user or account owner
• Transcripts and meeting insights: kept until deleted by the user or account owner
• Waitlist entries: kept until the user unsubscribes or requests deletion
• Logs and error data: typically kept for up to 90 days unless needed for security or legal reasons
• Billing records: kept as required for tax, accounting, and legal compliance

07Data Export

Users may request a copy of their personal data. Where available, Myntlo may provide an export in JSON, ZIP, or another reasonable format.

Exported data may include account information, meeting metadata, transcripts, summaries, action items, and other personal data associated with the user's account.

08Deletion Rights

Users may request deletion of their account and personal data.

When an account deletion request is made, Myntlo may apply a short grace period before permanent deletion to prevent accidental loss. During this period, the account may be marked for deletion and access may be limited.

After the grace period, we will delete or anonymize personal data unless we are required to keep certain information for legal, security, fraud-prevention, tax, billing, or compliance reasons.

Under privacy laws such as GDPR and CCPA/CPRA, eligible users may have rights to request access to or deletion of personal information. GDPR Article 17 includes a right to erasure in certain circumstances, and California privacy rules also provide deletion rights for covered businesses.

09Your Privacy Rights

Depending on your location, you may have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Request a copy/export of your data
• Object to or restrict certain processing
• Withdraw consent where processing is based on consent
• Opt out of certain communications

10Cookies and Analytics

Myntlo may use cookies or similar technologies for authentication, security, preferences, and analytics. We may use privacy-friendly analytics tools, such as Plausible, to understand product usage and improve the service.

11Children's Privacy

Myntlo is not intended for children under 13, and we do not knowingly collect personal information from children under 13. If we learn that we have collected such information, we will take reasonable steps to delete it.

12International Users

If you access Myntlo from outside the United States, your information may be processed in the United States or other countries where our service providers operate. We will take reasonable steps to protect personal data according to applicable law.

13Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will provide notice by updating the effective date, posting a notice in the app, or contacting users where appropriate.
